Project summary: For a professional services firm, we built a management system that runs medical dictation, transcription and billing in one platform, with separate portals for administrators, transcription staff and contractors, and customers.
The challenge
Transcription work moves audio between clients, contractors and reviewers, and then has to be billed accurately. Doing that across email, shared drives and separate invoicing tools is slow and error-prone, and job details such as patient information need strict access control.
What we built
- Dictation intake: in-browser audio recording with a live waveform and pause and resume, plus batch upload of audio files and Word documents.
- Manual or AI transcription: each dictation can be routed to a transcriptionist or to automated AI transcription, and large batch uploads are split automatically.
- Detailed job tracking: patient, report type, date of service, referring physician and priority up to STAT, moving through Pending, Assigned, In Progress, Transcribed, Completed and Signed.
- Staff workspace: a work queue with turnaround times and a side-by-side listen-and-type view, with confirmation steps before critical submissions.
- Admin control: a live dashboard, customer and staff management, a service and rate master with flexible pricing, and a customer credit system.
- Invoicing: custom billing periods, multiple currencies (USD, INR, EUR and GBP), automatic credit deduction, due-date countdowns, email reminders and PDF invoices.
- Customer portal: invoice summaries and history, PDF downloads, company documents such as W-9 forms, and strict isolation of each client’s data.
- Audit and access: role-based access for every portal, logged confirmations for critical actions, and a responsive design for desktop, tablet and mobile.

- Customers track invoices, payments and documents in a self-service portal.
